Direct Pay(DP) and Employee Reimbursement(ERR) on docusign:

• How long will it take to process requests through DocuSign?
  Our goal is to have requests processed in 5 business days, and under normal work conditions we expect it to take fewer than 10 business days. However, in some cases it may take longer due to heavy workloads.
• How can I check the status of a request I made?
  You can view the status of the envelope by returning to the email you received when you were prompted to sign and clicking “Review Documents” again. For detailed information, go to “Other Actions” in the top right corner of the window and select the “History” option. If this doesn’t fix your problem, you can contact AP to confirm the status of your request.
• Why was my envelope voided or declined?
  Generally, this happens because there was a significant error on the form or because the person to whom it had been sent was not the person who should have received it. Your email notification should have included a short note about the reason for being voided or declined. For more information, contact the party who declined or voided your envelope.
• How should I access DP and ERR forms?
  The best way is to go to the UAA AP/Travel website and visit our “Forms” page. Using this method will ensure that you get the most recent version of the form with a working link. We ask that you avoid bookmarking the PowerForm directly because you will end up running into errors down the road.
• How many documents can I attach to my request?
  In theory, as many as you want. If you run into an issue with the attachment process, go ahead and contact AP for assistance.
• Can I still request a rush order in an emergency?
  Yes, you can. The best way to do this would be to email uaa_accountspayable@alaska.edu and use the envelope ID along with other specifics to identify which envelope you would like to be expedited. Keep in mind that AP can’t rush an envelope until all other necessary signatories have approved the envelope so you may need to email whoever else is signing as well.
• I noticed and error after I sent the envelope, what should I do?
  Unfortunately, after you sign the envelope you can’t make any more changes. Depending on the error, you will either need to request that the envelope be voided or that the next person to receive it fix the error.
• How can I get help if I’m unfamiliar with the process of using DocuSign or if I have more questions?
  Some resources are available on Statewide OIT’s website (https://www.alaska.edu/oit/servicecatalog/#id=206). Other than that, you are welcome to send an email to uaa_accountspayable@alaska.edu with further questions or concerns.
• I submitted a paper DP or ERR, do I need to resubmit on DocuSign?
  No, your payment will be processed on paper. However, expedited processing is only available through docusign so your request may take longer to fulfill.
