About Event Types

The word Event in 25live is anything we create in 25Live to schedule Locations and/or Resources. Event Type tells us what kind of Event it is. It is very important to select the correct Event Type because they are used for the below,

  • Makes certain fields available to enter information that should be recorded for that type of event. Selecting the correct event type means not entering more information than needed. It also means you will have all the correct fields to enter specific information into.
  • Controls what fields are required. Some fields are needed for approvers so they know enough about your event to make their decisions and accommodate your event. If you select the wrong Event Type you may not be providing them with all the information they need. 
  • Affects how people can find the event on some web calendars such as the UAA Master Calendars. Selecting the inaccurate Event Type could impact how many people will see it that use the Event Type filter on web calendars.
  • Some fields yes/no fields are determined to always be yes or no for certain Event Types. This is to reduce the number of fields that you have to enter when creating your event.

Important Information About Courses and 25Live

The term Courses refers to Courses that are on the University Academic Catalog published by the Registrar's office. These are Courses created in Banner that registration can only be done through UAOnline. All required meeting days for a course are imported from Banner and changes updated every 5 minutes. These imported Events from Banner have priority over all other events. This means that they will kick out any occurrence of an event that conflicts with an occurrence of the Course created by the interface. If you see an error with a Courses meeting days, times, or locations you must contact the UAA Registrar's Office or the Academic Scheduling office for the campus the course is offered by. To ensure the University meets all federal laws and University policies it is important that all changes to required meeting days go through the processes overseen by the Registrar's office. If you wish to be able to edit other information on Courses please contact the 25Live System Administrator.

Final Exams for UAA, PWSC and MSC Full-Term courses are created by the 25Live Exam Generator that is part of the interface. They are created by the UAA Registrar's Office based on the official Final Exam schedule. Creation of Final Exams is done shortly after the Add/Drop Deadline for that semester/term.

List of Event Types and Usage Notes

Event Type Usage Notes
Academy/Convention Large Events that have many smaller events as part of them. Used to block multiple Locations when a schedule of events is not known or may change. Events with this Event Type cannot go on the UAA Master Calendars. Use of this event type is restricted.
Activities Any type of activity that is not a performance. This could be a dance, movie or any interactive event for fun.
Arts & Entertainment Any type of performance or art exhibit. Automatically considered for all Audiences when added to calendars that use the Audience filters, such as the UAA Master Calendar. Please note that rehearsals or practice days should be scheduled as a separate event under the Rehearsal Event Type. This is to prevent such days from appearing on some web calendars.
Celebration/Ceremony Any kind of celebration or ceremony. This includes meet and greats to introduce a person or persons to groups of people.
Competition/Tournament Any type of competition or tournament, this is not limited to sporting events. Automatically considered for all Audiences when added to calendars that use the Audience filters, such as the UAA Master Calendar.
Course: Arranged Meeting Use for Sections/Courses that are on the University Academic Catalog. This should only be used as a place holder while waiting for the Section/Course to import from Banner. Make sure to read the Important Note About Courses before using this Event Type.
Course: Final Exam Use for Exams that are required for all students as part of a course that is on the University Academic Catalog. Make sure to read the Important Note About Courses before using this Event Type.

MSC, PWSC & UAA Note: if this is for a PWSC or UAA you first search by the CRN of the Course to see if there is already an Exam for the Course.
Course: Makeup Session or Exam Use for makeup sessions for a course that is on the University Academic Catalog. For information to help you identify this type of Course, see the Important Note About Courses. It is recommended to create a single event in 25Live for each Course.

TIP: If you have a makeup session for multiple courses in one room you can set the events to share the room. This will provide more options for publishing to Web Calendars, custom web tools and easy searching in 25Live.
Course: Section Use for required meeting days for a course that is on the University Academic Catalog. For information to help you identify this type of Course, see the Important Note About Courses. These should always import from Banner. The only time it is ok to create them manually in 25Live is if they are place holder to hold the room until the Course imports from Banner.
Deadline or Important Date Dates that you want to go on a web calendar, typically are not associated with a specific Location. Examples: Holidays, Office Closures, Deadlines, Period Start or End Dates.
Exam/Test (Non-Course) Examination or test that is not required as part of the completion of a course that is on the
University Academic Catalog (course with registration done through UAOnline).

These are Final Exams for Anchorage area courses created by the Exam Generator in the 25Live Interface. For more information about imported Courses, see the Important Note About Courses. Use of this Event Type is very restricted.

Exam-V

These are Final Exams for Prince William Sound College courses created by the Exam Generator in the 25Live Interface. For more information about imported Courses, see the Important Note About Courses. Use of this Event Type is very restricted.

Forums Events to collect feedback or opinions. If event will not be added to the UAA Master Calendar then you can use Meeting: Closed.
Health Clinic or Wellness Break Events to provide Health & Wellness. If it is a Lecture/Seminar or Training/Workshop on Health topics, you should use the Event Type for what filter you want it to be under on Web Calendars.
Information Display or Fair A single display in a Lobby or a large event with many displays. Displays are not limited to a specific kind of display this can be booths, tables or signs.
Item Sale/Swap Any setup to sell or swap items of any kind. Automatically considered for all Audiences when added to calendars that use the Audience filters, such as the UAA Master Calendar.
Lecture/Seminar  
Maintenance Make spaces unavailable due to maintenance. Use of this event type is restricted.
Meeting Meeting that is open for either certain groups or anyone to attend. Events with this Event Type can be added to the UAA Master Calendar.
Meeting: Closed Meeting that is only accessible to those that were invited. Events with this Event Type cannot be added to the UAA Master Calendar.
Open Hours (Room, Office or Building) Reserve a room for open access hours, such as open lab hours. Also used for posting hours on web calendars for office hours. Use of this event type is restricted.
Rehearsal Rehearsal days for performances. Events with this Event Type cannot go on the UAA Master Calendars.

Renovation

Make spaces unavailable due to a renovation. Use of this event type is restricted.

Section-A

These are Anchorage area courses imported from Banner. For more information about imported Courses, see the Important Note About Courses. Use of this Event Type is very restricted.

These are Kodiak College courses imported from Banner. For more information about imported Courses, see the Important Note About Courses. Use of this Event Type is very restricted.
