Classroom Reservation Form

After we review your request for space, you will receive an email confirmation, generally within 3 working days depending on the time of year and workload. We book and confirm UAA General Classroom space/event dates for the current semester only.  If your request includes a future date, the reservation will not be confirmed until after the class schedule is set for the semester in which your event occurs. We accept requests for future dates, but we hold these requests until two weeks prior to the semester in which the event will occur.  It is the responsibility of the requester to reconfirm future requests and update for any changes or cancellations. Please email us if you have any changes or special requests.

Parking Policies:

  • Permit Parking is enforced Monday-Thursday from 7:30am-7:30pm. Parking is free during non-enforcement times.  All parking areas are now equipped with Pay 'n Park Machines for visitors (machines take cash, coin, and credit). Parking violations are enforced strictly for improper parking, parking in a restricted zone or fire lane, parking in a permit parking area without a permit or paid meter receipt. For a rate quote on parking lot rentals, please contact us. A $25 rush fee applies to all parking requests made within two (2) weeks of the event.
  • Driving on campus pedestrian areas is not permitted. This includes all sidewalks, walkways, and the Cuddy Quad. If you need to pull up to a door in a pedestrian area, please confer with Event Services staff for detailed instructions.

Catering & Alcohol Policies:

  • All food served on campus must be arranged through UAA Seawolf Catering. Please email uaaseawolfcatering@nmsusa.com for information, menus and reservations. If you plan on serving alcohol, an Alcohol Waiver must be approved by the office of the Vice Chancellor of Student Affairs prior to the event. Permits must be obtained through UAA Seawolf Catering. Absolutely, no alcohol may be served without this permit.

Damage & Cleaning Policies:

  • Contract must leave the facility in the same layout/configuration as it was found.
  • A labor, maintenance, and/or cleaning fee may be imposed for excessively dirty or damaged/vandalized rooms or equipment.

Deposits, Fees, Payments & Cancellations:

  • A deposit of 50% of the facility charge is due once the event is confirmed by the Event Services office. This deposit will be applied to the total of your event. The total amount of the bill is due 3 days prior to the first event date. If the bill is not paid in full before the event date, the event will be cancelled. Any additional charges incurred during the event will be billed after the event, and due upon receipt. A labor, maintenance, and/or cleaning fee may be imposed for excessively dirty or damaged rooms or equipment.
  • If you need to cancel your event, cancellation requests need to be submitted in writing to your event contact or to reservation@alaska.edu at least 14 days prior to the event date. Cancellations submitted in writing at least 14 days prior to the event will receive their deposit back, minus a $50 processing fee. Cancellations received after 14 days prior to the event date will forfeit their deposit.
  • Contractor understands and accepts that if it fails to pay bill or any monies due and owing UAA by the scheduled due date, and fail to make acceptable payment arrangements to bring account current, UAA may refer the delinquent account to a collection agency. Contractor further understand that if UAA refers the balance to a third party for collection, a collection fee will be assessed and will be due in full at the time of the referral to the third party. The collection fee will be calculated at the maximum amount permitted by applicable law, but not to exceed 40% of the amount outstanding.

Conditions and Liabilities:

  • Contractor agrees to abide by all University policies, including fire regulations, posting, and alcohol policies. I understand that the UAA campus is a non-smoking campus. For liability purposes, Contractor agrees to ensure that members and guests of the group will not move or tamper with any equipment, including furniture. Contractor further understands that all facilities and equipment are subject to availability. 
  • Contractor agrees to indemnify, defend, and hold harmless the University of Alaska Anchorage, its employees, officers, agents, and the Board of Regents against any and all claims of injury to person or property due directly from any accident occurring in, upon, or about the premises except to the extent such injury or damage results from gross negligence from the University.
