Please be advised that this form is not for UAA clubs or departments, but for outside organizations and clients unaffiliated with UAA. Equipment and Technology Policy:

It is crucial to carefully select the required equipment and technology from the available options. Failure to provide this information may result in our inability to take responsibility for any issues related to the incorrect setup of the technology. Additionally, it is essential to fully set up the technology before the scheduled start time of the event.

Catering & Alcohol Policies:

All food served at events hosted in the Student Union must be priced under $700. If this cost threshold is exceeded, the use of UAA Seawolf Catering will be mandated. For further details, including menus and reservations, please visit their website at Seawolf Catering.

If you plan to serve beer or alcohol at your event, you are required to obtain approval for an alcohol waiver from the Dean of Students Office two weeks in advance. Requests for approval should be directed to uaa_deanofstudents@alaska.edu. It is important to note that alcohol cannot be served unless the waiver has been officially approved.

Prohibited Items:

    • No candles, fog, confetti, or smoke machines are permitted.
    • Use only blue painter's tape; clear tape or packing tape is not allowed.
    • Avoid putting food down the kitchen drain.
    • Do not move or adjust the current layout, as this will result in an automatic fee.

Adhering to these guidelines will help maintain a safe and well-maintained environment for everyone.

Damage & Exceeding Reserved Time:
The policy regarding damages to furniture, kitchen equipment, and overall space, as well as early arrival or late departure, is crucial to maintaining the integrity of the premises and equipment. The following policy can help address these matters effectively:

  • Any damage to furniture, kitchen equipment, or the overall space caused by individuals or groups will be the financial responsibility of the party host.
  • The responsible party will be charged for the full cost of repair or replacement of the damaged items.
  • It is important for all individuals using the space to handle furniture and equipment with care and report any damages immediately to the appropriate personnel.
Early Arrival or Late Departure Policy:
  • Individuals or groups that arrive early or depart late, beyond the agreed-upon times, may incur additional charges.
  • The specific fees for early arrival or late departure will be outlined in the rental agreement or booking terms.
  • It is the responsibility of the individuals or groups to adhere to the agreed-upon arrival and departure times to avoid any additional charges.
