Purpose
To specify the community campus delegation authority and responsibilities for personnel files.

Policy
Delegation Authority
The Directors/President have the delegated authority and responsibility for the confidentiality of personnel files, including accessibility limitations; the contents of personnel files; and the retention requirements as specified in the relevant policies and regulations.
Delegation CriteriaAdherence to policy and regulations including:
- Maintaining the privacy rights of employees by avoiding unnecessary exposure of the contents of individual personnel files.
- Ensuring that the contents of the personnel files contain only relevant employment information such as application, hire documents, wage or salary placement, benefits, disciplinary actions, evaluations, etc. as set forth in Board of Regents Regulations.
- Retention of personnel files for three years following termination.
- Guarding against the unauthorized removal of materials from the files.
ApplicabilityAll community campuses have the delegation authority for personnel files expressed
in this policy unless special limits or requirements are set by the Vice Chancellor
for Administration.
