Things to Note About Housing Cancellations
- The terms of the Academic Year Housing Agreement are for the fall and spring semesters or for the remainder of the academic year if entered into after the beginning of fall semester. Summer sessions are covered under a separate agreement.
- The refund schedules above apply to the date the applicant submits the Cancellation
Form, except in the situation stipulated below.
- For a student checking out of student housing mid-semester after they submit the Cancellation Form, the refund schedule above applies to the date the student vacates campus housing.
- Fall residents who don't intend to stay for the spring semester are eligible for a release of their housing deposit provided they submit a Cancellation Form prior to December 1 and move out within the last two weeks of the semester.
- Students who move out of student housing before the terms of the Housing Agreement are up without completing a Cancellation Form will be subject to a $75 improper check-out fee.
Requests for Exception to the Agreement
If there are circumstances that may prevent a student from meeting the obligations of the Housing and Dining Agreement, they may appeal the agreement cancellation forfeitures by completing a Request for Exception to the Housing Agreement Form found on their Housing Page on UAOnline (under the Applications and Forms tab) no later than 30 days after the start of the semester following the semester in which cancellation fees would apply. Circumstances that may qualify for exception include medical withdrawal from student housing or from UAA, call to active military duty or change in employment status to a position more than 40 miles from campus issued after the deposit forfeiture date. Exceptions are not typically granted for failure to adhere to published cancellation deadlines, change in financial status, poor academic performance, disciplinary withdrawal, or decisions to withdraw from college or attend another university.
Since the Housing Agreement for the fall and spring semesters is an academic-year agreement covering both semesters, students who are only staying for the fall semester, but not for spring can submit an online Cancellation Form before December 1 for the spring semester and receive a release of their housing deposit after fall move-out provided they move out during the last two weeks of the semester. Students who cancel for the spring semester after December 1 will forfeit their deposit, but can request an exception in situations where submitting a late cancellation form is the result of a medical withdrawal or a related circumstance. Exceptions to this policy are not typically granted in cases where students have an overdue account balance or poor academic progress that prohibits them from attending for the spring semester.
When submitting a Request for Exception, documentation for most circumstances is required and can be submitted along with the online Request for Exception Form.
